INTAKE:
1. Message from Laura re: Intake information.
2. Vivian or Lorraine to send out email message to all volunteers to see who would like to do the intake with family.
3. After the reply is received, the designated TL and volunteers will meet with family. TL to call family, contact person to set up a meeting for intake, preferably at ROL Church.
4. Contact Kim Ho'ohuli to inform her of the time/place/family's name, etc. to include her in the intake so she can assist the family with the selection of the music. Available during evening, & weekends only)
5._Master Key from Laura before the meeting and before the day of the funeral mass.
6. Meeting with family:
_______ Assist and guide family by informing them of the process, what they
can choose from, what they need, etc.
_______ Tablecloth for the reception table and tablecloths for tables if they
need for serving food to guests.
_______ Remind them of the Book of Life, found in the Blessed Sacrament Area/Room
and that they can insert the page at their convenience.
________Ample amount of programs on the day of the funeral mass.
________Type all the information and send them out to Laura and all the volunteers.
7. ______Volunteers to reply
to TL ASAP.
This will give the team leader an idea of how many volunteers can help. If not
enough, the TL will call around to make sure we have adequate helpe during the
Funeral Mass.
Estimate the duration of the preparation, mass and clean up so volunteers can
choose what they would like to do.
8. ______Follow-up: log in master list of intakes. Keep the log of funerals up to date, to include dates for follow-up calls, etc. These are kept in the ROL BM binder Any volunteer can enter the information.
DAY OF THE FUNERAL MASS:
Badges of volunteers and 2 master keys are kept in the round tin can with the rest of the Bereavement Ministry items in the black metal file cabinet in the left side of the office supply closet at the right side of Fr. Paul's office.
Assigned Eucharistic Minister to prepare for the mass:
Preparation for mass:
_______Cart in sacristy to transport 4 oil lamps (lighter near sink)
_______Wooden tray lay out with the following items:
_______Gold Chalice with cover/cloth (Fr. Paul uses)
_______Small glass bowl filled with tap water
_______Small wooden bowl,(place host from the plastic container found in the
fridge, place one medium size host to place above the small ones in the same
bowl (found above the sink, 2nd cabinet)
_______Carafes of wine and water (tap water); ( found in the refrigerator)
_______Towel to wipe hands with
______ Light Easter candle as soon as you get to church. Snuff and allow to
solidify before returning to the original place.
______ Light the oil glass lamps just before the mass. Blow out thru the hole
in
glass lamp, return to cart after mass.
_______Lighter in the cabinet above the sink.
_______Wine from the fridge
______ Chalice, after use, wash and dry and return to cabinet.
______ Glass bowl filled with water
______ White towel
______ Carafe of water
______ Host
______ Large wooden bowl from the Blessed Sacrament after "Peace be with
you", and bring to the altar. Key to the Blessed Sacrament is found in
the middle cabinet above the sink in the sacristy.
______Pall Cloth (found at the back room of sacristy, labeled drawer on the left as you walk in). To be placed over the casket after the mass.
______Holy Water & sprinkler. Container of holy water with hand sprinkler found in the closet on the right side as you enter the sacristy. Fill only about 1 ½ inch level of water. Hand sprinkler will be used to sprinkle holy water on the casket as it enters the church. After use, pour the water on the plants in front of the church. Take it apart and dry on paper towel.
______ Rosary per family's request. Assign family members or volunteers using our Glorious Mysteries Rosary Novena that Lisa Ortiz put together, which found in ROL BM Binder in the office. Allow enough time to say the rosary before the Mass.
______Seating arrangement. Instruct the participants, i.e. readers, offering bread & wine, rosary, etc. to sit at the left side of the altar for easy access to the podium. Signal the readers and other participants when it's their turn.
________ Read the Prayer
of the Faithful/Intercessions after the Homily.
_______Reception table. Family members to set up small table for the reception
area (box for money envelopes, sign-in book,etc). Family will provide the table
cloth for reception table. Preferably white or pastel color, clean and ironed.
Assist them and let them know where to get what they need.

_____________All church doors with Master Key
_____________Lights/Fans
_____________Outside light switch is found on the wall by the exit door
near the restrooms,
_____________ Switch to the 3 lights above the altar are found inside the
parish office by the door form the church on the left side of the
wall, #5 switch.
_____________Turn off lights, fans, faucets in restrooms, lock all the doors.
_____________Check faucets/windows in both restrooms.
___________Tent, table &
chairs @ the lanai. Have the male relatives help with this task. Family will
bring table cloths.
____________Key to the outside cabinet for chairs is hung in the left corner,
side of the closet in the sacristy same one with the sprinkler/container, right
side as you enter the sacristy, has a big heavy metal chain attached to the
key.
________ Kitchen. Remind the family to be responsible for set-up and cleaning but we will be available to show them where things are and supervise to help them with tasks. Volunteer can make suggestions re: arrangement, organizing with caterers, etc). Family may not know what to do especially if they are feeling despondent at the time.
________ CDs are available
during the viewing, or if family wants the choir to sing during the viewing,
up to them. CDs are kept in a tin can in Fr. Paul's office supply closet on
the right as you walk in the door.
_________Place CDs in the CD player in the back room of the sacristy.
_________ Power buttons, top red square and bottom left side, looks like a thin
button for the CD player.
__________Sound volume is turned to the left, about 9 o'clock direction. DO
NOT TOUCH THE TOP RIGHT KNOBS!!! Load several CDs at a time, press load to rotate
the CD disc placement. Ask someone who knows how to operate the machine if unsure.
