Minutes of the ROL Bereavement Ministry Meeting

OLD BUSINESS:
1. Stations of the Cross: Suggestions from Genie:
a. For next time, have Fr. Paul open and close with prayer if he is present.
b. To have the church attendees participate in the reading of the reflections.
c.To add the word "All" for the community to read and actively participate in the Stations after the volunteer reads the first paragraph. We will need a volunteer to revise the pamphlets.
d. To make ample supply of handouts next year. We will need another volunteer to do this task.

2. All 3 keys are accounted for. Vivian, Lydia & Lorraine).

NEW BUSINESS:
Please note the two new items on the checklist on the day of the Funeral Mass:
a) #1 item should be the placement of the orange cone in front of the main entrance of the church as a reminder to not drive up to the main door/entrance. Write "ROL Bereavement "on it. Keep it at the storage place at the back.
b) Fr. Paul wanted us to make sure we pour the excess holy water back into the container.
Long hours spent during the funerals. Volunteers may divide the hours into shifts. Designate a specific volunteer to lock up after checking everything on the checklist.
Suggestion/solution by the group: To say to the family during intake, "We're here to provide a Funeral Mass for your loved one". To inform them that there will be no serving of food or musical entertainment. We want to emphasize a more spiritual focus. They will be encouraged to do all that at the wake, at the mortuary hall or at their private homes where they can be free to spend all the time they need to say goodbye to their loved one. This will be added to the introduction letter and signed by the family stating that they were informed of this agreement.

Funeral Mass fees: The group agreed the fee for non-parishioners should be $300.00 and for parishioners $200.00.

Reminder to attendees during the Funeral Mass: Please do not bring food or drinks inside the church. There were stains on the crocheted table cloth (donated by Bob) and would like to see it washed.

Designated smoking area will be at the left back side of the church by the steps. Please announce this during the beginning of the mass with the rest of the reminders.

All announcements should be done at the commentator's podium, right side facing the altar.

Nice bereavement cards were printed by Vivian. They are to be given to the family during the day of the funeral mass, signed by theROL Bereavement Ministry Volunteers.

Improved intake process: The paperwork are emailed or faxed to the POC of the family so that they can review them and come to the Intake Meeting with the information. This makes it so much easier for all.

Suggestion/Reminder: Please introduce Fr. Paul or his alternate to the family members before the mass, this is a nice courteous gesture.

It has been suggested that the volunteer badge be revised to read "ROL Bereavement Ministry Volunteer" under the first name of the volunteer. To have new lanyards to use that has the "I love Jesus" on it. Lynne Cullen volunteered to type the new ones, to include Tom's and Jimmy's names.

Bob reminded everyone to view the ROL Website: rolwaipahu.org periodically for updates. Thank you to Bob for all the great documentations and organization of data.

We may need to have a monthly recruitment for volunteers, since we only have a handful of active volunteers due to various legitimate reasons.

We sincerely appreciate all the hard work of the regular volunteers who make sure that everything goes smoothly with their excellent problem solving skills.

ROL Bereavement Ministry Meeting Minutes:

I. Opening Prayer: Lydia Pavao

II. New Business: a) Update list of volunteers, a few of the volunteers requested to be taken off the list due to other commitments. Lorraine will email the current list to all volunteers.
b) Reviewed the purpose of the Standard Funeral Mass. Well received by volunteers as well as families during intake process and at the day of the Funeral Mass.
Lydia announced that the folder will contain extra copies for the volunteers on the Funeral Mass Day, she invited the volunteers to obtain their copy of the intake to use as a guide to the details/sequence/needed items for that day.
c) Reviewed the contents of the Intake Folder and the change in the letter and the Welcome Announcement (Vivian's handouts). Add the pamphlet: How to say the rosary to the folder to use if family requests a rosary. Intake Folders can be found in the black metal file cabinet in Fr. Paul's office supply closet, (where our stuff are kept). Lydia announced that the folder will contain extra copies for the volunteers on the Funeral Mass Day, she invited the volunteers to obtain their copy of the intake to use as a guide to the details/sequence/needed items for that day.
d) Reminder to families: Please select songs from the Missalette if they have special request to not use the songs pre-selected in the Standard Mass. Consult with Kim to make sure the selected songs are appropriate.
e) Our church easel is missing, please try to see who may taken it with the picture collage during the past funeral masses.
f) Mary stated that she will obtain her copy of the intake from Laura and Genie will obtain her copy from the Team Leader or from the folder placed on the podium. All volunteers are invited to get their copy from the folder on the podium too.
g) Please offer Holy Communion to persons with wheel chairs first when ready to receive Holy Communion. Usher will assist them with the positioning of their wheel chair.

III. Please note the following changes in the checklist:
1. Body should not be allowed to arrive or received before 9:00AM. Team Leader or any designated volunteer may receive the body without Fr. Paul. He will bless the body later, before the mass. Have the Holy water /container/sprinkler available near the altar, (small table at the right side of the altar, against the wall).
2. We are not using the website. The group agreed that we need a ROL website instead where we can include all the ministries update/information. Plan to inquire re: Who is the POC for this and work with that person.
3. The key to the outside closet of tables and chairs can be obtained from Laura only.
